His "celebration" had obviously removed any inhibitions he had if he had had any at all. He chose a gift for his wife and brought it to the volunteer to be wrapped. She took the gift and nervously began to wrap it. The new dad was talking away and noticed the shy volunteer's hands trembling as his voice got louder and louder, "Look she's turning red. Don't be nervous, it's OK. Look, she's shaking!" It seemed to take forever for the young woman to get that gift wrapped, the transaction completed, and for the new dad to get back out the door. Minimizing Distractions is Key for Effective Time Management

Studies show that multitasking not only reduces the efficacy of the tasks being performed but negates the goal of accomplishing several things at once without diminishing the quality of the tasks. Students need to realize that quality over quantity is fundamental to their academic success and that the brain works much better when it is allowed to focus on only one task before moving to another.

Creating the Perfect Study Environment

The ideal study environment contains a desk, textbooks, a laptop (if applicable), and nothing else. For some students, listening to meditation music or nature sounds helps them study. In addition, programs are available to block distracting websites on the Internet. Software like Focus Me blocks access to social media sites until you have completed your schoolwork.

Other “time traps” that distract students from their academic tasks include studying at the wrong time (too early in the morning or too late at night), studying in a public place, or concentrating on school work for only 10 or 15 minutes at a time. The brain requires at least 45 minutes to fully absorb academic tasks so “cramming” before an exam will not help you pass that exam.

Procrastination–A Student’s Worst Enemy

When someone has access to a variety of options and one of those options incurs large costs relative to immediate benefits (finishing a complex research paper may only reward the student with a “C” grade, for example), that person may procrastinate, or avoid finishing the task because they are afraid of producing low-quality work. Alternately, students procrastinate when they justify certain academic work as irrelevant or “boring” and therefore, unimportant.

Students can minimize their propensity to procrastinate by:

  • Listing the consequences of procrastinating v. getting the job done as soon as possible.
  • Setting reasonable goals for themselves (completing a research paper in five days instead of two).
  • Breaking a task into less formidable parts
  • Asking for assistance from instructors or peers
  • Expecting to get the job done without expecting perfection.
  • Rewarding yourself when you have completed a task.

When students learn to control their tendency to procrastinate by understanding why they procrastinate, they soon discover that problems with prioritizing time are lessened or eliminated.

Avoiding Information Overload

Signs of information overload include “fuzzy” thinking, inability to memorize, making bad decisions, and feeling stressed. When someone is exposed to excessive amounts of information simultaneously, the brain cannot process these bits of information individually. Consequently, the nervous system as a whole becomes overstimulated as the brain struggles to absorb and assimilate a confusing variety of data.

Information or “cognitive” overload affects students who are reading multiple textbooks, studying for multiple exams, and working on several research papers all at one time. In addition, they might also be texting or interacting on social media sites. Information overload occurs because the student has failed to manage their time wisely and now faces a “do or die” situation.

What is Procrastination?

Procrastination is putting off or delaying something that requires attention. For example, a student may put off starting that class project because s/he knows it’s not due for another week, or an employee may put off writing that report until the last possible minute, or someone puts off going to the grocery store for just one more day. Procrastination in these cases could end up with a poorly executed class project, numbers that don’t reflect actual business results and a hungry family ordering take-out instead of enjoying a healthy meal.

Why Do We Procrastinate?

But why procrastinate? In the above scenario, we can guess that the student passed on the class project because s/he wanted to do other things, doesn’t like the class, or perhaps doesn’t know how to approach the project. The employee perhaps knows that the boss isn’t going to like the results of the report so s/he put off doing it to avoid potentially being reprimanded. Perhaps the person putting off going to grocery store used traffic as the reason for the delay, or maybe didn’t want to stop in the middle of a fun gardening project. Most of us can relate because most of us have procrastinated at one time or another.

A common explanation by some procrastinators is that they work better under pressure. Some people, with only one task in front of them no matter how simple or complex, and with plenty of time ahead of them, will place the task to the side and wait for other tasks to do along with it before beginning. Once a few tasks have accumulated, the process of working on them can begin.

Psychologists say that the decision to work on something depends on how much we value finishing the task—in that moment—it is referred to as its “subjective value”. This is when we value doing something else more than we do the task we’ve put off. To trick ourselves to avoid procrastinating, we would have to assign more value to the task or consider the replacement task of less value. For example, if you put off vacuuming your house and decide to watch a video instead, you might tell yourself how nice your house always looks once it’s vacuumed and that the video probably won’t give you the same feeling of satisfaction that a clean house will. This might motivate you to vacuum because the payoff to you will be greater.

Another factor in procrastination is referred to as “delay discounting”. What this means is that because finishing the task happens in the future, the reward is delayed. The further away the deadline, the less we want to do the task right away.

Overcoming Procrastination

Here are just a few tips you can try to avoid procrastinating:

  • Recognize that you are procrastinating: Admitting the problem is the first step.
  • Identify why you are procrastinating: Do you not like the task? Are you unorganized? Do you find the task overwhelming?
  • Create your anti-procrastination strategy: Keep a To Do list to help keep you on track. Realize the consequences of not doing the task. Create a reward system for yourself; for every task you don’t avoid, reward yourself with a special treat.

The problem of and treatment for procrastination can be very extensive in some cases and may even require medical assistance. However, for the simple procrastinator in all of us, remember: “If you want to make an easy job seem mighty hard, just keep putting off doing it.” – Olin Miller.

Five productivity systems to streamline your studies

Eat That Frog

It’s tempting to complete little or easy tasks first because you can get so many out of the way. Yet so many times I find I’ve spent the whole day doing small, relatively unimportant tasks. Basically, I procrastinate the important jobs because “I will just wash these dishes first”. My house is never as clean as when I’ve got an assignment due and I don’t want to do it.

The weirdly named ‘Eat That Frog’ method, involves tackling the hardest task on your list first. The name, coined by is actually inspired by a quote attributed to Mark Twain: “If it’s your job to eat a frog, it’s best to do it first thing in the morning. And if it’s your job to eat two frogs, it’s best to eat the biggest one first.”

The theory is if you can complete your most despised task first, then you can achieve anything. This might not be your biggest or most important task; it just has to be that task that you really don’t want to do.

There’s an app for that

Brian Tracy has released an Eat That Frog app on iOS. However, I find if I really want to focus on a disliked task I need to avoid distractions. There are plenty of apps available to block websites, such as internet extension, but I find there are enough distractions on my tablet and phone apps without even opening a web browser. So to reduce the temptation of Facebook and cute cat videos, I use . This app allows me to choose the apps I want to have access to in a given situation, and block those that are time wasters. For instance, I have a work, study and family time schedule set up, each one with only the apps I’m allowed to use in those situations.

Getting Things Done

Developed by David Allen, the consists of five steps: capture, clarify, organize and reflect.

Capture: everything you have to do or sparks your interest, either in physical files of paper or virtually in an app or folders.

Clarify: which of your notes are a task, what’s just for reference and what can be discarded?

Organize: lists of similar tasks or daily and monthly schedules and put action reminders in the right place.

Reflect: on your task lists regularly so you always know what’s coming next. Every week review your lists and reorganize as necessary.

Engage: or, in the immortal words of Shia LaBeouf, “Just do it”. Systematically go through your tasks and get things done.

DGT GTD & To-Do List is a great way to implement the Getting Things Done method. I use my own version using Evernote notebooks, but this system works just as well with physical files and paper lists.

Eisenhower Matrix

“What is important is seldom urgent and what is urgent is seldom important.”
Inspired by this quote, to 34th U.S. President Dwight Eisenhower, the Eisenhower Matrix is a way to sort the wheat from the chaff in your task list.

To implement this strategy, you need to break your task list down into four categories: Urgent and Important (do now), Urgent and Not Important (delegate), Not Urgent and Important (do later), Not Urgent and Not Important (delete).

While I don’t think it’s always possible to delete not urgent/not important tasks in your life and not everyone is in the position to be able to delegate, I can see how this technique can help you to focus on the things that matter and as a guide to what you can procrastinate.

The Seinfeld Method

The rumor has it that Jerry Seinfeld used this technique to ensure he wrote jokes every day. While , this technique can still help you achieve your goals especially if you like a visual representation of your success.

The idea is that you set a goal, say completing two hours of study every day. Then you get a calendar and each time you achieve your goal you put a big cross on a date on the calendar. The ongoing chain of X’s is meant to keep you motivated. This is a great idea but it is important to keep your goals achievable and start small. If you can’t manage to meet your target at least three times a week, you’ll lose motivation pretty quickly.

There’s an app for that

If you like the idea of creating a visual reminder that you are achieving your goals but don’t want to use a paper calendar, why not try . Add items to a task list and every day you achieve all your tasks a green dot appears on the calendar. A red dot appears on those days you didn’t finish everything on your list. To ensure you stay motivated and create good habits, I would suggest only adding one task at a time. This way you can wait until your first habit is formed before moving on to the next goal.

Pomodoro Technique

Developed by entrepreneur as a study method while he was in college. Named in honor of the tomato-shaped timer he used to keep motivated (pomodoro means tomato in Italian). The Pomodoro Technique can help you stay productive, keep track of the time you spend on tasks AND create a list you can mark off as a visual reminder of your achievements.

The technique involves focusing on one task for 25-minute burst without interruption and then taking 5 minutes break. Every four pomodoros (time periods) take a 15-minute break. You can adjust the times as suits you best. This is a great method, not just for the short bursts of intense focus without distraction but also for the regular breaks it forces you to have. These lead to improved concentration and motivation for the task at hand.

is a great free app to help you implement the Pomodoro technique and, if you want to take it further, the paid pro version allows you to keep a handy list of tasks. For a free version that combines a Pomodoro timer and a simple but effective task list try .

It’s been interesting trying out all these different productivity techniques. I realized I already use a version of Getting Things Done, but need to implement a stricter schedule of reviewing my task lists every week to ensure I’m on track. I’ve now combined this with the Pomodoro Technique, to see if I can stick to a better study schedule and postpone my procrastination.

A key to successful course taking is the ability to study. You should have a quiet space without distraction that you can sit down and spend time taking in the knowledge your courses require. This may seem like a simple thing to do, but… well no, it doesn’t really seem simple at all.

There are so many distractions in our everyday lives. You may have a job where you are on call even when you are at home, so your phone must always be on. If you have a family and children, while we wouldn’t go so far as to call them a distraction, they certainly don’t make studying easy. Even your dog can cut into your study time if there is a sudden need to go outside!

That isn’t even factoring in all the modern technological distractions we battle constantly. Twitter, Tumblr, and even news sites are all like quicksand for your mind; once you get stuck into one, it’s hard to get back out. Even worse, they keep calling you back once you do leave with endless notifications and the lure of infinite distraction.

All that being said, if you are looking to take courses to gain experience and the ability to take certification exams to start a new career or further your current one, you’ll need to figure out how to study without distraction. Sleep

My number one scientific secret to study success is sleep. Or, to be more specific, resting.

To be honest, sleep is one of my favorite pastimes. A day in bed napping is my idea of a really good time (wow I sound old). The positive mental and physical benefits of sleep are well-documented, but did you know that it can also help you to learn more effectively? It’s not just about getting a good night’s sleep either, though that certainly helps a lot.

It turns out that when you rest is more important to learning than the way in which you rest. into whether it was more effective to study in the morning or at night found that those who went to sleep soon after their study session were able to retain a lot more information. Apparently, you are much more likely to forget what you have learned if you study in the morning and then do other tasks throughout the day. Seems like a good excuse to sleep to me!

It wasn’t just the fact the students got a full night’s sleep after studying either. Research into memory retention has found that ‘‘ can be just as good. I tend to call ‘wakeful resting’ doing nothing but now I know the scientific term for it, you bet I will be using it ALL the time. Hold on; I might just have a wakeful rest right now.

For this particular research, two books were read out loud to a group of seniors. Straight afterward, half went into a room to play a game for ten minutes while the other half participated in ten minutes of ‘wakeful resting’. Unsurprisingly, those who spent ten minutes resting were much more likely to remember the information than those who played the game.

So basically my number one favorite study tip from science is: reward yourself with a nap after every study session. If anyone dares question your choice say science told you to.

Practice

It is all very well to have a huge pile of study notes, but reading them more than twice makes little difference to your ability to understand the material or retain information. Instead, the recommends undertaking practice tests to aid memory, familiarity with the subject, and reduce exam-related stress.

Practice tests help you to study in two ways. First, it makes your brain recall the information using a variety of methods depending on the question, thereby strengthening the memory of the information. Second, practice tests allow you to get used to the pressure of an exam so when the time comes to be tested on your skills you won’t feel as stressed.

Instead of rereading your study notes for the millionth time, on your second read of the material, come up with some questions on the topic. As I explained last week, I have been using this method since learning about Cornell note-taking. Use these questions to create flashcards (questions on one side, answers on the other) and test your knowledge (no peeking !).

This way you can easily tell what you already know and where you have gaps in knowledge, therefore finding those areas you need to study more. Alternatively, there are plenty of flashcard and quiz apps, such as those shown at the end of this post, that you can use for a more interactive approach to practice testing.

Time

has shown that distributing your study topics within one study session or spacing them out across multiple sessions are much better for long-term memory retention than mass cramming of information or studying the same information again soon after. Đ’ĚýAlso, the longer you want to keep the information in your brain, the longer the length of time between study sessions.

Finally, when it comes to things you have learned there is one important rule: use it or lose it. If you want to remember what you have studied, you need to use that knowledge in real life. At ¶¶ŇőĘÓƵ you have the advantage of attending both theory and lab classes. Not only do you get to understand why: you also get shown how. You are more likely to remember information if you actually put it into use, so make sure you use your lab time wisely to retain the theory you have been learning.

Practice makes perfect: four fun apps to help you learn


The study tool I use the most is Memrise. You can choose from the thousands of courses within the app or add your own course using a question/answer or keyword/definition format. I use this app so much I now write my notes in question and answer format within a spreadsheet so I can use Memrise’s bulk upload feature. The only downside is that you can only create a course through the web app and it can be tricky to figure out how to do it.


Quizlet allows you to create your own flashcards and games as well as being able to search the database for study tools in your chosen topic area. On top of the flashcards, there is a ‘match’ mode where you have to match question to answer and a ‘learn’ mode that will show you a question, and you have to type in the answer correctly to continue. A big downside is only being able to include voice recording and images in the paid version.


Cram is another app that allows you to create flashcards or find flashcard sets created by others on your topic. You can create public or private sets of flashcards, and you can add photographs. While Cram provides two learning mode to review your material, there are no ways other ways to practice using the information on the flashcards, such as games or quizzes. Cram does one thing and does it well.


StudyBlue provides much the same service as Quizlet and Cram, being a straightforward flashcard app. You can create flashcards and view those created by others. The big plus for StudyBlue, and the only reason I have included it is that you can add both photos AND record audio to your flash card.

Motivating Factors In Business

A happy employee is a productive employee, but what makes a happy employee? At the end of the day, humans want to feel like they’ve made a difference, that their efforts are appreciated and that their boss has their back. To get there, management needs to motivate their employees, and below are just some motivational tools that they can provide for doing just that:

Recognition – this can be as simple as taking a moment to say thank you or job well done.

Encouragement – a very powerful tool to challenge people to reach their goals and feel empowered

Respect – treating each employee with respect, as well as fostering a respectful working environment.

How Will You Stay Motivated?

As you drive to work, picturing in your mind the stack of papers that awaits you, or the voice mail messages that are probably stacked up in your phone, it can be difficult to muster the motivation to tackle yet another work day. However, today is a new day! Tell yourself that you will do your best today. When you get to work, take a few minutes to get yourself organized and begin by making a great to-do list. Be sure to put the most important tasks at the top and add a time estimate for each. As you check off each task, you will visually see your work load decline and start to feel a bit lighter and ultimately more accomplished. It’s like eating an elephant. How do you eat an elephant? . . . One bite at a time. (Please do not eat an actual elephant.)

Throughout the day, give your attention to the things you can control. Very often we become overwhelmed with things that remain undone that are out of our control, but this only adds more stress. Focusing on handling the things you can control will help you to feel empowered and be more productive.

Set up a reward system for yourself. For example, for each goal you reach or for each five items you check off your to-do list, indulge in a special treat.

Ask yourself why. Why are you working? Why there? Why this Job? Remember why you are there, what brought you there and why you stay. This leads to another list, the good/bad list. On the left side of a blank page, write all the reasons you like your job. On the right, all the reasons you don’t. One of two things will happen. You will find more things on the left than on the right, which will motivate you to power through, or you will find more things on the right side than on the left, which may motivate you to reconsider your current situation and make a new goal for your future.
